Organizing a festival with a large number of activities, different zones, workshops and participants takes much more than an ordinary site with a program on it. Information changes up to the last moment, certain workshops have a limited number of places, and several people work on the organization and the content at the same time. That is why a complete website was built, together with a custom administrative system through which the organizers manage the program, the sign-ups and the information visitors see on the site.

Challenge
The festival program covers a large number of activities spread across different zones and time slots. Some activities require signing up in advance, some have limited capacity, and the schedule can change right before the festival or even during it. Working the classic way, through spreadsheets, documents and passing changes along by hand, would very quickly become a problem here. What was needed was a system where a change is entered once and immediately becomes available wherever it is needed.

Solution
In the administrative panel the organizers have an overview of every activity and can search it, filter it, publish activities, change time slots or update a status. If an activity moves, changes location or is canceled, the change is made directly through the administration and appears to visitors immediately, without waiting for a developer. For activities with a limited number of places, a sign-up system was built that automatically tracks the number of registrations and the remaining capacity, with different access levels and a view of the change history.

Result
Dečji festival Oplenac got more than a new website. The program, the sign-ups, the capacity, the locations and the changes are all run from a single administrative environment, even when the information changes right before the event. For visitors that means a clearer program and simpler sign-up, and for the organizers less manual work, less room for error and a far faster reaction when the plan changes.
